Calocedrus Partners reserves the right to limit, suspend, or terminate participation without refund if a participant:
Engages in behavior that threatens the safety or wellbeing of others
Repeatedly disrupts retreat activities or coaching sessions
Harasses, discriminates against, or intimidates other participants
Refuses to follow reasonable safety instructions or property rules
Our goal is always to address concerns collaboratively whenever possible.

Participants agree to respect the privacy and confidentiality of all retreat and coaching participants.
Information shared by participants during coaching sessions, retreats, workshops, group discussions, or related activities shall be treated as confidential and shall not be disclosed outside the program without permission.
While facilitators will encourage confidentiality, Calocedrus Partners cannot guarantee the actions of other participants.
Participants remain responsible for exercising discretion regarding information they choose to share.

All program materials, assessments, worksheets, presentations, frameworks, models, guides, and educational content provided by Calocedrus Partners remain the intellectual property of Calocedrus Partners.
Participants may use these materials for their personal development and internal professional use but may not:
Reproduce
Sell
Distribute
License
Teach
Publish
the materials without prior written consent.

Coaching is a collaborative process intended to support leadership effectiveness, self-awareness, personal growth, and professional development.
Coaching, leadership development, forest therapy experiences, mindfulness practices, retreats, and related services are educational and developmental in nature and are not intended to diagnose, treat, prevent, or cure any medical, psychological, or psychiatric condition.
Participants remain solely responsible for decisions made regarding their health, career, finances, relationships, and personal circumstances.

Calocedrus Partners is committed to helping participants make meaningful progress toward their stated goals.
Because outcomes depend on many factors outside of our control, specific results cannot be guaranteed.
For the Thriving Leader Accelerator, if a participant fully participates in the program and does not observe meaningful improvement in the agreed-upon leadership outcomes identified at the start of the engagement, Calocedrus Partners may, at its sole discretion, extend coaching support for an additional period as described in the program materials.

Participants understand that retreat activities may occur in public places and on our private mountain property and may include:
Walking on uneven terrain
Nature-based experiences
Forest therapy
Hiking or trail use
Outdoor gatherings
Exposure to weather conditions
Wildlife encounters
Participants voluntarily assume all risks associated with participation.

To protect the property, participants, and surrounding environment, participants agree to:
Stay within designated retreat areas
Follow safety instructions
Respect wildlife and natural resources
Refrain from unsafe conduct
Use facilities responsibly
Participants may be removed from the retreat without refund if their behavior creates a safety risk.

Participants acknowledge that awareness alone does not create change.
The effectiveness of coaching, retreats, assessments, and development experiences depends on the participant's willingness to reflect, experiment, practice new behaviors, and apply insights in their daily life and leadership.
Calocedrus Partners provides guidance, tools, and support. Participants remain responsible for implementation and results.

During programs, retreats, and other experiences, photographs, video/audio recordings, testimonials, and other media may occasionally be captured for educational, promotional, marketing, or archival purposes.
By participating, you grant permission to use your name, likeness, image, voice, and testimonials in materials. Materials remain the sole property of Calocedrus Partners and may be used without restriction as to time or geographic location.
If for any reason you’d like to remain anonymous, please let us know in writing. We will make reasonable efforts to honor such requests, yet complete exclusion from group photographs, recordings, or event media cannot always be guaranteed.
We will never disclose confidential client information, coaching conversations, organizational information, or personally identifiable details in any marketing materials without explicit participant permission, regardless of media consent status.

To the fullest extent permitted by applicable law, Calocedrus Partners, its owners, employees, contractors, facilitators, coaches, agents, and representatives shall not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages arising from or related to participation in any coaching program, retreat, workshop, assessment, training, consulting engagement, or related service.
This includes, without limitation, claims for loss of income, business opportunities, profits, reputation, goodwill, data, or other economic or personal losses, even if advised of the possibility of such damages.
Participant acknowledges that all decisions and actions taken as a result of coaching, leadership development, educational content, assessments, retreats, or other services are made voluntarily and remain the sole responsibility of the participant.
To the fullest extent permitted by law, the total liability of Calocedrus Partners arising from any claim related to the services provided shall not exceed the total amount paid by the participant for the specific program, retreat, or service giving rise to the claim.

Participant agrees to indemnify, defend, and hold harmless Calocedrus Partners, its owners, employees, contractors, facilitators, coaches, agents, and representatives from and against any claims, demands, liabilities, damages, losses, costs, or expenses, including reasonable attorneys' fees, arising out of:
Participant's actions or omissions;
Participant's violation of this Agreement;
Participant's misconduct while participating in any program, retreat, workshop, or event; or
Participant's use or misuse of information, tools, recommendations, or materials provided through Calocedrus Partners.

Because coaching capacity, program materials, and scheduling resources are reserved specifically for each participant, all program purchases are considered a commitment to the full engagement.
Unless otherwise stated in writing:
Program fees are non-refundable once the program has begun.
Participants remain responsible for completing all scheduled payments regardless of participation level.
Missed coaching sessions are forfeited unless rescheduled in accordance with the program's scheduling policy.
Requests to pause participation may be considered in cases of significant illness, family emergency, or other extraordinary circumstances and are granted solely at the discretion of Calocedrus Partners.
Approved pauses may not exceed ninety (90) days unless otherwise agreed in writing.
For retreat participants, because retreat planning often requires advance commitments for facilities, food, materials, and staffing, the following cancellation policy applies:
More than 60 days before retreat start date: Full refund less a $250 administrative fee.
31–60 days before retreat start date: 50% refund.
30 days or less before retreat start date: No refund.
Participants may transfer their registration to another individual approved by Calocedrus Partners up to 14 days before the retreat.
